What happens after you submit

We’ll review the details you provided before calling, so the conversation can start with the actual bookkeeping problem instead of a long intake script. On the callback, we’ll talk through how current the books are, what system you use, what work you want handled, and any cleanup that may need to happen first.

If Balanced On Time Books looks like a fit, we can then discuss scope, pricing, and the access needed to get started. If you’re not sure which bookkeeping service you need, that’s fine — you don’t need to choose a package before the call.

Balanced On Time Books is based in Cincinnati and building a presence in New York City. Because much of the work is handled through QuickBooks Online, NetSuite, and connected financial accounts, remote bookkeeping may also be available for businesses outside those markets.

What to have ready before the call

Nothing needs to be gathered in advance for the callback itself, but a couple of things make the first conversation more useful. Knowing roughly how many bank and credit-card accounts the business uses, whether payroll runs through a separate provider, and how far behind the books currently are helps frame the scope quickly instead of guessing at it.

If the business is already on QuickBooks Online or NetSuite, having admin or owner-level login access ready to grant — not necessarily granted yet, just available — can shorten onboarding once an engagement is agreed on. None of this is required to submit the form above; the optional fields exist so a caller can skip anything they don’t know yet and cover it on the phone instead.

How pricing gets decided

Pricing isn’t quoted from a form submission alone, because the workload behind two businesses with the same revenue can look completely different. Transaction volume, the number of bank and card accounts, whether payroll or accounts payable/receivable support is included, and how current the books already are all factor into scope — a business with a year of catch-up work ahead of it is a different engagement than one that just needs the recurring monthly close picked up.

The callback is where that gets sorted out. Expect to leave the call with an actual number rather than a range, once the scope is clear enough to price accurately.

If you’re switching from another bookkeeper or firm

Switching bookkeeping providers mid-year is common enough that it doesn’t require restarting the books from scratch. The existing QuickBooks Online or NetSuite file is reviewed, the most recent reconciled period is confirmed, and the recurring monthly process picks up from there rather than reconstructing the whole year, as long as the prior records are usable.

If the prior bookkeeping turns out to have gaps or inconsistencies, that gets identified during the review rather than discovered months later, and any necessary catch-up work is scoped as its own piece before ongoing monthly bookkeeping begins.

A few common questions before the call

Do I need to already know which service I need?

No. Most callers describe the problem — books that are behind, an owner spending too much time on categorization, a QuickBooks file nobody trusts — and the right scope gets worked out from there rather than requiring a service name up front.

Is there any obligation after submitting the form or taking the call?

No. The callback is a conversation to confirm fit and scope. Nothing is billed and no access is requested until both sides agree to move forward.

What if my business isn’t listed among the industries on the site?

That doesn’t automatically mean it’s outside our scope. The industries page covers common small-business models, not every business we can work with — describe the business on the call and we can confirm whether the bookkeeping fits.

Can I reach out if I’m just comparing bookkeeping options right now?

Yes. Not every callback ends in signing up right away, and a conversation about scope and pricing is useful information on its own, even for a business that isn’t ready to switch bookkeeping providers yet.

Do you work with businesses outside Cincinnati and New York City?

Yes. Because the bookkeeping is handled through QuickBooks Online, NetSuite, connected bank feeds, phone, and email, location matters far less than having the right access and a reliable way to communicate — remote bookkeeping is available for businesses outside either market.

What if my business has more than one entity or location?

Mention that on the call. Multiple entities or locations usually mean each one gets its own reconciled file, or its own tracked categories within one file, depending on how the business is structured — the exact approach gets worked out once we understand how the entities relate to each other.

What the callback window means

Submissions made 9 AM–5 PM Eastern, Monday through Friday, are what the “usually within about 30 minutes” response applies to. A form submitted Friday evening, over the weekend, or on a holiday is treated as an after-hours submission and gets a callback the next business morning rather than immediately — the same standard applied consistently, not a best-effort estimate that varies by how busy a given day is.

If a callback hasn’t come through in the expected window, calling the number above directly is the fastest way to reach someone, especially if the request is time-sensitive. A missed callback is worth a follow-up call rather than a second form submission, since a duplicate entry can occasionally cause the two requests to get handled out of order.
